Who we are

Visible Online ("we", "us", "our") is a marketing agency based in Antwerp, Belgium. We help small businesses grow with websites, SEO, and lead generation. You can reach us at hello@visibleonline.com.

What data we collect

We collect the minimum data needed to provide our services and run our website:

  • Contact form submissions: name, email, company name, budget range, message content. You provide this voluntarily when you fill in our contact form.
  • Newsletter signups: email address only.
  • Analytics data: anonymized data about which pages you visit, what device you use, and how long you stay. This includes country, browser type, and referring website. We do not collect data that personally identifies you through analytics.
  • Server logs: our hosting provider keeps standard access logs (IP address, request time, page accessed) for security and debugging. These are deleted after 30 days.

How we use your data

We use the data we collect for the following purposes:

  • To respond to your inquiry when you contact us
  • To send you our newsletter, if you signed up for it
  • To understand how our website is used and improve it
  • To detect and prevent abuse, spam, and security threats

We do not sell your data. We do not share your data with third parties for advertising. We do not use automated decision-making or profiling.

Cookies

We use a minimal set of cookies. Strictly necessary cookies are always active and store technical settings like your cookie consent choice. Analytics cookies (set by Google Analytics) are only loaded after you give explicit consent through our cookie banner. You can change your consent at any time by clicking the "Cookie settings" link in the footer.

How long we keep your data

  • Contact form submissions: kept for up to 24 months after our last contact, then deleted unless you become a customer (in which case we keep them for the legal retention period required for business records, typically 7 years in Belgium).
  • Newsletter signups: kept until you unsubscribe.
  • Analytics data: anonymized and aggregated, retained for up to 14 months.
  • Server logs: 30 days.

Your rights under GDPR

If you are in the EU/EEA/UK, you have the following rights regarding your personal data:

  • Right of access: request a copy of the data we hold about you.
  • Right to rectification: ask us to correct inaccurate data.
  • Right to erasure: ask us to delete your data ("right to be forgotten").
  • Right to restriction: ask us to stop processing your data.
  • Right to data portability: request your data in a portable format.
  • Right to object: object to processing for specific reasons.
  • Right to withdraw consent: withdraw consent at any time for processing based on consent.
  • Right to lodge a complaint: file a complaint with the Belgian Data Protection Authority (gegevensbeschermingsautoriteit.be) or your local supervisory authority.

Data security

We use HTTPS encryption on all pages. We use modern, mainstream service providers (Netlify, Formspree, Google) who maintain industry-standard security practices. We do not store credit card information or passwords on our website. Access to internal systems is protected by strong passwords and two-factor authentication.

International data transfers

Some of our service providers (Google, Formspree, Netlify) are based in the United States. Data transferred to these providers is protected by appropriate safeguards including Standard Contractual Clauses and the EU-US Data Privacy Framework.

Children

Our services are not directed at children under 16. We do not knowingly collect personal data from children.

Changes to this policy

We may update this privacy policy from time to time. Significant changes will be communicated by updating the "Last updated" date at the top. Continued use of the website after changes constitutes acceptance.
